Crafting a Newsletter Pitch Sponsors Can't Ignore

You’ve built the audience. You’ve earned the engagement. You may have even run a few successful sponsorships.

Now it’s time to elevate your newsletter and perfect your pitch.

Cold outreach can feel like shouting into the void. But with the right pitch and a media kit that does the heavy lifting, you can turn cold leads into paying sponsors.

Here’s how to make your outreach stand out, and what your media kit needs to seal the deal 👇

Start With the Right Targets

Before you send a single email, make sure you’re reaching out to the right companies.

Here’s how to narrow your list:

  • Look at past sponsor performance. What industries or offers resonated with your audience?

  • Use that data to define your ideal sponsor profile: industry, price point, customer type

  • Search LinkedIn for similar companies, and target senior marketers (Head of Growth, Digital, or Affiliate Marketing, for example)

Then lead with proof:

  • Share performance data from similar brands, and testimonials from past brand sponsors

  • Include links to past editions with comparable sponsors

  • Highlight your average unique clicks on sponsored content (not just CTR)

This shows you’re offering more than ad space. You’re offering a tested path to ROI.

What to Include in Your Media Kit

Lose the PDF. Use a live webpage that’s easy to update and link to. Plus, you can add the link to the end of each newsletter with a simple “advertise with us” call-to-action.

Here’s what to include:

1. Newsletter Overview

  • Name, description, and signup link

  • Your background as a publisher (with a photo)

  • A short, compelling summary of what makes your newsletter unique

2. Audience Demographics

  • Age, gender, location, job titles, income (if available)

  • If you don’t have this data, run a quick reader survey

3. Engagement Metrics

  • Subscriber count and growth over time

  • Average open rate and click rate

  • Most importantly: average unique clicks on sponsored content

4. Placement Options & Pricing

  • Sponsorship formats (e.g., title sponsor, secondary sponsor, text links)

  • Specs for each (word count, image guidelines, etc.)

  • Estimated unique clicks per format

  • Clear pricing (or at least a range)

5. Social Proof

  • Testimonials from past sponsors

  • Case studies with anonymized performance data

  • Retention rate for repeat sponsors

6. Contact Info

  • Make it easy to reach you. Include your email and a Calendly link if possible
